Notices, Minutes, and Treasurer’s Reports

The LLECOA Fiscal Year (FY) runs from June 1 through May 31. Records are provided for download from FY22 to Present. For copies of or access to previous records, please contact the current LLECOA Secretary or other Board Member.

The following is a simplified rundown of the annual process:

June - Board of Directors Meeting:

BOD Vote: Election of Officials for new Fiscal year

  • Agenda for Annual Members Meeting and confirm location

  • Review Draft Annual Meeting Minutes and Treasurer’s Report for previous fiscal year

    Other Old and New Business.

June - Notice of Annual Meeting:

Send Notice of Annual Members Meeting (by mail, email, and this website) at least three (3) weeks prior to scheduled date, and include: Agenda, Draft Minutes from previous Annual Meeting, Draft Treasurer’s Report, and an updated Member Directory.

July - Annual Members Meeting:

Typically held the first Sunday following the Fourth of July in Sinclair, the Annual Meeting consists of:

  • President’s Welcome

  • Members Voting, Present and Absent (confirm quorum)

  • Vote: Minutes from Previous Annual Meeting

  • Vote: Treasurer’s Report on Previous Fiscal Year

  • Vote: Election of Directors

  • Discussion of Road Maintenance

  • Vote: Board of Directors Recommended Assessment (dues)

  • Old Business

  • New Business

  • Vote: Date, Time, Location of next Annual Meeting

  • Vote: Adjourn

August - Invoices sent to Members

Typically by August 1st, invoices are mailed and emailed to all members, with payment due by October 1st.
